Article 4: Get Organized

Being disorganized eats away at your time. You waste time looking for files. You waste time looking for information. You waste time repeating tasks that should be automatic. Here are some hints to help you get organized and stay that way:
  • Get the type of filing furniture that works best for you. Modular carts on wheels provide flexibility. Filing racks that hang on walls are perfect for small spaces. Boxes make files mobile. Traditional file cabinets still get the job done. Check out any of the big retail office supply stores for filing options. Or go to www.stacksandstacks.com for more ideas.

  • Create a filing system that works for you. There are dozens to choose from: color coded folders and labels, numbered, action-oriented (such as read, respond, etc.). Your focus should be on finding a system that is easy for you to use and maintain.

  • Ditch the clutter. Piles of paper, magazines, binders and books create a jumbled mess. You’ll waste time digging through the clutter. Get bookcases or wall shelving to house those bulky items.

  • Keep the things you use most close at hand. Stamps, envelopes, CD-ROMs, files, pens, appointment book and other items should be within arm’s reach. The more efficiently you organize your office, the more productive you’ll be without wasting time.

  • If you travel often, make a packing list of items you take on every trip. Stash it in your luggage so it’s handy the next time you pack. It will make packing go much faster, and you won’t end up at a business appointment with mismatched socks.
